Privacy Policy

RoadBuck Kenya Co. Ltd supplies, installs and supports workshop equipment in Kenya. For data collected through this website, RoadBuck is the data controller.

Almost everything we hold is something you typed into a form. The one exception is anonymous usage measurement, described under Analytics and measurement below. Specifically:

• Request for quotation (RFQ). Your name, company, role, email address, phone number, county, site address, the type of enquiry and sector, the equipment categories and any specific model you are interested in, your power supply, the services you need, your timeline, any notes you add, and the list of products you placed in the quotation tray.
• Contact form. Your name, company, email address, phone number, the department you selected and your message.
• Newsletter sign-up. Your email address, and nothing else.

We do not ask for, and this website has no way to collect, payment card details, identity document numbers or any special category data. There are no customer accounts and no passwords for visitors.

• To answer your enquiry and prepare a quotation. This is the whole purpose of the RFQ and contact forms. The lawful basis is your consent, given when you submit the form, and our legitimate interest in responding to a business enquiry.
• To manage the sales conversation that follows. An RFQ automatically creates a record in our internal pipeline so your enquiry is not lost, and our team logs calls, WhatsApp messages, emails and site visits against it.
• To send equipment updates, if, and only if, you signed up to the newsletter. The lawful basis is your consent, and you may withdraw it at any time.

We do not sell your data, and we do not use it for automated decision-making or profiling.

Your data is visible to RoadBuck staff who handle sales, service and installation. It is stored in our database, which is hosted by Neon, and this website is hosted by Vercel. Both process data on our behalf as service providers. Where we have email notifications enabled, Resend delivers those notification emails to our team.

These providers operate servers outside Kenya, so your data may be stored or processed abroad. We only use providers that offer contractual data protection safeguards.

We do not share your data with anyone else except where the law requires it.

We measure how the catalogue is used so we can improve it. None of this identifies you, and none of it is ever joined to an enquiry you send us.

• Page views and performance. Vercel Web Analytics and Speed Insights record which pages are visited, where visitors arrive from, and how quickly pages load. Both are anonymous and set no cookies, so they run for everyone.
• Actions on the site. We record that a WhatsApp or phone link was tapped, that a machine was added to a quotation, that an RFQ was sent, and what was searched for. We store the name of the action, the page it happened on, and the time. We do not store who did it — no name, no IP address and no session identifier.
• Google Analytics. Only if you accept cookies. It sets cookies in your browser and sends usage data to Google. If you decline, it is not enabled, and if you never answer the banner it stays off.

This site uses very little. When you first visit, a banner asks for your cookie preference, and your choice is remembered in your browser’s local storage so we do not ask again.

• Quotation tray. The products you add are kept in your own browser’s local storage. They never reach our servers unless you submit an RFQ.
• WhatsApp prompt. A flag in session storage stops the prompt appearing more than once per visit.
• Staff sign-in. A cookie is set only for RoadBuck staff signing in to the internal admin area. It is not set for ordinary visitors.

Declining optional cookies does not limit anything on this site. The quotation tray and RFQ form work either way.

We keep RFQs, contact messages and the sales records that follow from them for as long as we are dealing with your enquiry and for a reasonable period afterwards, so that we can honour warranties, service history and repeat orders. Newsletter subscriptions are kept until you unsubscribe. If you ask us to delete your data and we have no legal reason to keep it, we will.

Under the Data Protection Act, 2019 you have the right to:

• be told how your data is being used, which is what this page is for;
• ask for a copy of the data we hold about you;
• have inaccurate data corrected;
• ask us to delete your data;
• object to how we are using it, or ask us to restrict that use;
• withdraw consent at any time, including for the newsletter.

To exercise any of these, contact us using the details below. We will respond as quickly as we can. If you are not satisfied with our response, you may complain to the Office of the Data Protection Commissioner.

Data is transmitted over an encrypted connection and stored in a managed database that is not publicly reachable. Access to the internal admin area is restricted to RoadBuck staff. No system is perfectly secure, but we take reasonable steps to protect what you send us.

If we change what we collect or how we use it, we will update this page and change the date at the top.
